Privacy notice

What Boothkraft collects, why, who helps us run it, and how long it's kept. Written to be read, not skimmed past.

Who we are

Boothkraft is a trade-show lead capture and follow-up app, at app.boothkraft.com, and this website, boothkraft.com. You can reach us on WhatsApp at +91 90357 67722, or by email at create@capturekraft.com.

This website

boothkraft.com sets no cookies and uses no analytics, trackers or third-party scripts. Fonts and images are served from our own server.

Like any web server, ours keeps standard access logs: IP address, time, the page requested and the browser. We use them only to run and protect the site, and keep them for a limited time.

If you request an invitation, we keep what you put in the form (your name, work email, company, and the optional WhatsApp number, shows, booth size and note) to reply to you. The same goes for anything you send us by WhatsApp or email. It's kept for as long as the conversation needs, and you can ask us to delete it at any time.

The Boothkraft app

Companies use Boothkraft to record the people they meet at trade shows and to follow up with them. The company using Boothkraft decides what it records and why, and Boothkraft processes that data on its behalf. The app holds:

  • Accounts: the names and work email addresses of the people a company invites, their role, and a hashed password.
  • Leads: business-card details (name, title, company, email, phone, website, address), booth photos, voice notes and their transcripts, notes, tasks, deals and the emails sent and received about them.
  • Signed documents: NDAs signed through Boothkraft, with a signature page and an audit trail of when they were viewed and signed, from which IP address and browser.
  • Mailbox connections: the server settings for a rep's mailbox and its app password, stored encrypted with AES-256-GCM.

Who helps us run it

We use a small number of providers, each only for its part of the service:

  • Anthropic (Claude API) reads business-card photos and voice-note transcripts, and writes follow-up drafts and daily summaries. Under Anthropic's commercial terms, API inputs and outputs aren't used to train its models.
  • Cloudflare (R2 storage) holds our off-site backups of the database and of uploaded files.
  • Our hosting provider runs the servers the app and this website live on.
  • The browser's speech recognition. The live transcript of a voice note uses the speech recognition built into Safari or Chrome, which may send the audio to Apple or Google to be transcribed.
  • The company's own accounts. Follow-up emails, and any other messages a company chooses to send its contacts, go out from that company's own mailbox and accounts.

How long it's kept

Lead data stays in Boothkraft until the company deletes it or closes its account. Backups are copied off-site every five minutes when something changes: hourly copies are kept for 3 days and daily copies for 90 days, so deleted data leaves the backups within 90 days.

How it's protected

Everything travels over HTTPS. Each company's data is kept apart from every other company's, repeated failed sign-ins are locked out, and invitation links expire after 14 days. There's more in the security section of the home page.

If a company met you at a show

The company you met decides what it keeps about you, so ask them first if you'd like to see, correct or delete it. You're welcome to write to us as well, and we'll pass your request on and help them deal with it.

Every follow-up email has a link to stop further emails, and replying to say no thanks works too.

Changes

When this notice changes, we'll update this page and the date at the top.
